How we handle your information

Toronto Malayalee Samajam is a secular, non-political, not-for-profit cultural organisation serving the Malayalee community of the Greater Toronto Area. You can reach us at secretary@torontomalayaleesamajam.com.

If you sign up for our newsletter, we store your email address, your name when you give one, the date you signed up and which form you used.

If you write to us, we keep your message and your reply address so a committee member can answer.

We also publish photographs taken at our events, which may show members and guests.

To send you the newsletter you asked for, to answer your message, and to run events, membership and the work of the Samajam. We do not use your information for anything else.

We only add you to the newsletter after you confirm your address by clicking the link we email you. Every newsletter carries our name, our contact details and an unsubscribe link, and we act on unsubscribes straight away.

Only committee members with an admin login can see subscriber details and messages. We never sell or trade your information, and we do not share it with other organisations.

The companies that run our website, our server and our email sending can technically access it while providing those services.

Our website and its database run on a server in the United States, and newsletters are sent through an email provider that also operates there. That means your information is stored outside Canada and is subject to the laws of that country.

We keep newsletter details until you unsubscribe or ask us to remove you. When you unsubscribe we keep a record of your address so that we do not add you again by mistake. Messages sent to us are kept while they are useful to the committee.

We publish photographs from our events on this website. If you would rather a photograph of you or your family were removed, write to us and we will take it down.

This website sets no advertising or tracking cookies. Your browser remembers whether you closed the newsletter popup, and committee members who log in to the admin get a login cookie.

You can unsubscribe from any email, ask us for a copy of what we hold about you, or ask us to delete it. Write to secretary@torontomalayaleesamajam.com and we will act within a reasonable time. If you are unhappy with how we handled your information, you can contact the Office of the Privacy Commissioner of Canada.
